Job Function

  • To support the CI Events Manager with the CI Annual Summit and ADIPEC – two events taking place in October 2023.
  • To provide delegate, stakeholder, logistical and administrative support across the events.

Key Responsibility Areas

  • Annual Summit delegate management support and overseeing registration.
  • Generally managing invites, reminders and guest/delegate lists.
  • Providing logistical and administrative support for the PC Acceleration Day (day 3) and some elements of the Annual Summit (day 2).
  • Managing various supplier relationships.
  • Onsite support: The Networking Reception and the set up of the Annual Summit on Tues, 17 October.
  • Onsite support: The Annual Summit and Gala Dinner on Wed, 18 October.
  • Onsite management/support: The Portfolio Company Acceleration Day on Thurs, 19 October.

Main Responsibilities and Accountabilities

  • To oversee delegate management/registration and the badging system – maintaining delegate lists, sending out reminder emails, handling delegate queries, updating content where needed on the website, pulling off delegate reports and ensuring all badging information is accurate.
  • To manage the event mobile app – uploading content, reminding delegates to sign up and helping delegates on how to use it. This will also involve collating information from various stakeholders – e.g. Portfolio Companies exhibiting at the event.
  • To liaise with all venues on delegate dietary requirements (3-4 venues).
  • To compile a delegate photo book for the CI team to use.
  • To manage the set up of the ‘sweet shop’ at the Annual Summit.
  • To manage the set up of the registration desk at the Annual Summit.
  •  To help co-ordinate the Portfolio Company Acceleration Day - managing logistics and liaising with the venue, colleagues and stakeholders.
  • To work with the Gala Dinner suppliers – catering, production, flowers, music.
  • To support with developing the joining instructions, briefings and rehearsal/onsite schedules.
  • Specifically with ADIPEC – to support with managing the Networking Reception invitation process. and guest list – sending out invites/reminders.
  • With ADIPEC, there may also be a requirement to support with booking meetings prior to the event.
    *The above is an indication of key areas of work (not exhaustive) but any tasks will be managed within a reasonable workload capacity.

Education and Professional Qualifications
  • Qualified to ‘A’ level essential.
  • Degree qualified or about to qualify preferred (ideally in events management).

Experience and Technical Competencies

  • Some experience in managing or co-ordinating events.
  • Candidates are likely to be highly organized with strong project management skills.

Additional Information

  • The position is based in London, UK.
  • Eligibility to work in the UK is mandatory.
  • We operate a hybrid working model for all our office based roles. 
  • The role will involve domestic and international travel as required.
  • The role may require additional hours to be worked above the normal working hours where necessary to meet business requirements. 
  • There will be some early starts/later evenings when close to the event and onsite.
